Personal Assistant

Job description

We are going through an amazing and accelerated growing period of time. Our CEO needs to be supported by a dynamic, autonomous and well organized Personal Assistant who is a time optimizer, an agenda driver, a mail cleaner, a paperwork manager and an enthusiastic interface with all our CEO’s stakeholders and partners.

The Personal Assistant will dedicate part of his/her time to also support the management team so they can focus on their strategic goals and missions.

 

 

REPORTING LINE

 

Reports to the CEO

 

RESPONSIBILITIES

 

  • Coordinate travel arrangements for Top Management
  • Manage calendar scheduling for the CEO
  • Handle timely submission and tracking of expenses
  • Prepare written materials as requested (memos, meeting agendas, presentations…)
  • Provide support to team as required
  • Work close to Communications and HR to organizing and preparing strategic internal meetings and external events

Requirements

SKILLS REQUIRED

 

  • Excellent writing and grammar skills
  • Outstanding interpersonal skills
  • Great presentation skills
  • Native English and French fluent
  • Master Google Suite, and communications tools (Skype for Business, WebEx, slack...)
  • Excellent organization & planning capabilities
  • 10 years’ experience in a similar position
  • Integrity, loyalty, reliability and a deep sense of confidentiality

HIRING PROCESS

 

The journey starts with a phone interview and a meeting with Audrey, Hiring Manager.

Then we plan face to face meetings with Xavier, CHRO and Virginie, HR.

For the final round, you will meet some members of C-Level and Pierre, our CEO.

You will be asked to provide us with professional references contact detail.
